Project Manager

Purpose

This position is accountable to provide overall project management for all aspects of assigned client work.  The Project Manager collaborates closely with cross functional team members to manage project scope and to ensure the timely and cost-effective delivery of great products to our clients.  Provides mentoring to account coordinators.  This position will demonstrate the HDA core values in everything they do.

Essential Functions of the Job

Estimating & Forecasting

  • Estimate project hours based on workflow, effort, product mix, portfolio brand set, and use of internal versus freelance staff
  • Source resources and gather estimates from vendor partners
  • Establish project workflow and setup
  • Determine resource needs and create staff schedule
  • Identify possible staff collisions or gaps and proactively solve the issues
  • Activate the project after the estimate is signed

Project Health

  • Actively manage the project schedule
  • Keep all relevant documents up to date (e.g.: status doc, collisions calendars, PH indicators)
  • Track the allocation of hours sold and actual schedule delivery
  • Provide thorough and up to date status reporting to all constituents
  • Do frequent and proactive budget analysis and reporting – identify and alert team to any scope creep
  • Act as the production lead for all channels and content
  • Establish relationships and oversee work of outside producers and photo/video teams
  • Oversee and manage the work and hours of vendors

Communication

  • Direct internal and client communications and conversations regarding timing and next steps to drive clarity and set expectations
  • Set up internal meetings and create calendar holds for client meetings
  • Lead Internal Review meetings and populate job tickets for client facing work
  • Take notes and route collected feedback to integrated team after internal and client meetings (when no AC present)
  • Provide the team with directional materials such as briefs, assets, and platform access information
  • Ensure that all content is accurate and complete
  • Traffic presentations to ensure all work is completed by content stake holders and content is ready for client meeting
  • Create and maintain client status documents

Role Support

  • Provide mentoring and support to the Account Coordinators
  • Actively participate in Project Management team L10 meetings
  • Follow EOS process to gain Traction. Set milestones for your rocks and set internal touch bases with your supervisor, the PM team and cross functional team members as needed.

Required Skills and Experience

  • 4-year college degree or equivalent experience
  • 1-2 years of industry or project management experience to include franchise development
  • Experience with Workamajig.
  • 2-3 years managing and working with multiple accounts.
  • Have the ability to change priorities quickly.
  • Working understanding of the lifecycle of digital projects such as websites, emails and paid media.
  • Experience with website and email projects including an understanding of functional and technical requirements.
  • Experience in developing and managing project timelines.
  • Experience in building accurate estimates to inform Scope of Work and managing to those budgets and scopes.
  • Experience with Adobe, Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to travel as needed.
  • Proven track record as an influential communicator; strong presentation skills.
  • Demonstrated self-starter; shows initiative and self-management.
  • Creative problem solver with proven success in navigating a creatively driven organization.
  • Demonstrated effectiveness in building relationships with internal and external partners.

Job Demands & Conditions

  • This position is a remote working situation with the ability to meet in person on a quarterly or as needed basis
  • This position involves sitting at a computer for several hours at a time
  • Proficiency in the use of keyboard / mouse and video meetings
  • Ability to see and hear in virtual meetings
  • Ability to work extended hours as needed
